Safe Steps Plans ("Safe Steps," "we," "us," or "our") provides smoke alarm testing, evacuation planning, and related fire safety services and tools, including through our website at safestepsplans.com (the "Site") and the free tools available on the Site (the "Response Time Calculator," "Family Fridge Sheet," and "Smoke Alarm Identifier," collectively the "Tools").

This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. By using the Site or the Tools, you agree to the practices described here.

1. Information We Collect

Information you provide directly

Depending on which Tool or service you use, we may collect:

  • Home address (street, city, state, ZIP) — entered into the Response Time Calculator or the Family Fridge Sheet

  • Family member information — names, roles, ages, physical descriptors, allergies, medications, and medical conditions, entered into the Family Fridge Sheet

  • Emergency contact information — names, phone numbers, and relationships

  • Pet information — names, breed, color, location, and notes

  • Utility provider selections and shutoff locations

  • A family rally point and family password, entered voluntarily for use on your printed emergency sheet

  • Photos of smoke alarms or fire safety equipment, submitted through the Smoke Alarm Identifier tool for the purpose of identifying the make, model, and capabilities of the device

  • Payment information, if you book and pay for a service. Payment is processed through Wix Payments as part of our invoicing system; we do not receive or store your full card number or payment details.

  • Contact information you provide when scheduling a service, such as your name, email, phone number, and service address

Information collected automatically

We use Google Analytics to understand how visitors use the Site. This may collect information such as your IP address, browser type, device type, pages visited, and general location (city/region level), through cookies and similar technologies.

2. How We Use Third-Party Services

We rely on third-party services to operate the Tools. Using these Tools means your information is sent to these providers for processing:

We do not sell your personal information to third parties, and we do not use it for third-party advertising.

3. Use of Artificial Intelligence

The Smoke Alarm Identifier tool uses Google's Gemini API to generate an image embedding from your photo, which is then compared against a reference catalog of known smoke alarm and fire safety equipment to find the closest matches. Your photo is transmitted to this service solely to generate this match; it is not used to make any decision about you personally, and it is not used for facial recognition or any purpose unrelated to equipment identification.

4. Data Storage and Retention

  • Response Time Calculator: Your address is sent to Google Maps Platform in real time to generate results. We do not save or store your address on our own servers.

  • Family Fridge Sheet: All information you enter is used only in your browser to generate your sheet. When you choose "Print / Save as PDF," your information is passed directly to a printable page. We do not store any of this data on our servers.

  • Smoke Alarm Identifier: Photos are submitted to Google's Gemini API to generate a match. We do not store your photo ourselves. Under Google's terms for paid API usage, your photo may be logged by Google for up to 55 days solely for the purpose of detecting abuse and policy violations, after which it is deleted. Because we use a paid Gemini API account, your photo is not used by Google to train or improve its AI models.

  • Service and inspection records: If you book a smoke alarm inspection or evacuation planning service with us, we retain the records generated (such as inspection reports) as part of our normal business and legal recordkeeping.

5. Your Privacy Rights (Virginia Residents)

If you are a Virginia resident, the Virginia Consumer Data Protection Act (VCDPA) gives you the right to:

  • Confirm whether we are processing your personal data

  • Access the personal data we hold about you

  • Correct inaccuracies in your personal data

  • Request deletion of your personal data

  • Obtain a copy of your personal data in a portable format

  • Opt out of the processing of your data for targeted advertising, the sale of personal data, or profiling — we do not engage in any of these, so no opt-out action is currently needed

To exercise any of these rights, contact us using the information in Section 8. We will respond within the time required by law. If we decline your request, you have the right to appeal; instructions will be provided in our response.

Residents of other states may have similar rights under their own state's privacy laws. Contact us and we will do our best to accommodate your request.

6. Children's Privacy

Our Tools and services are intended for use by adults. We do not knowingly collect personal information directly from children under 13. Family member information such as a child's name, age, or medical information may be entered into the Family Fridge Sheet by a parent or guardian for the purpose of emergency preparedness; this information is provided by the adult user, not collected from the child directly.

7. Data Security

We take reasonable steps to protect the information you provide, including relying on established third-party providers (Google, Wix) that maintain their own security standards. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

If you use the "Print / Save as PDF" feature on the Family Fridge Sheet, be aware that your information is passed through your browser to generate the printable page. We recommend only using this feature on a device and network you trust, and not sharing the resulting link.

9. Changes to This Policy
